Success by use of efficient Business Processes with Process-oriented Oracle ERP- and Collaboration Technologies

Process oriented IT-Technologies in Insurances

Strongly liberated business customers as well as private customers who call for flexible and low-priced products confront insurances with challenges that would have been unthinkable just years ago, as much as increasing competition. This development is accompanied by growing return assumptions by own investors and deteriorating re-investment possibilities at the same time. Future-oriented insurance companies react with intelligent business processes and innovative insurance products. Process oriented IT-technologies hereby not only help to save costs and speed up processes, but show to be real progress-accelerators.

So, what does reality look like? While process oriented systems already are frequently used for Inventory Management, this does not apply for financials yet. The consequences are strongly error-prone and time- and cost-intensive processes, which often affect customers and sales partners and thereby become real disadvantages in competition

Wuerzburger Versicherungs-AG: Efficient Business Processes in 6 months
That’s completely different with the Wuerzburger Versicherungs-AG. In the beginning of 2004 the specialized insurer with emphasis on accident- and travel insurances was confronted with the challenge to totally redevelop its Business Processes due to changes in the ownership structure. This was linked to a replacement of the SAP- and MS-Exchange Solution that was obtained as Service from the parent company. To make matters worse, the implementation of new Processes and IT-Solutions had to be completed within only six months!

In the forefront of this Reengineering Project the executive chairman Dr. Klaus Dimmer had verbalized the vision of a customer-focused specialized insurer, with target-group suitable products, which are placed on the market via variable Distribution Channels. All Management Processes should be automated as far as possible to provide the customer with noticeably shorter process cycles, a high process quality and an efficient cost structure. Because: especially for insurers an efficient Business Process Management is a condition precedent for long-term success on the market.

The Decision: Oracle E-Business Suite ready-to-use by Solution Partner PROMATIS

From a selective procedure, in which apart from functional also economic and technical aspects were considered, the PROMATIS software GmbH from Ettlingen was victorious and chosen as project partner. "With an overall project running time of less than 4 months we put ourselves a sporty goal. However, in PROMATIS we have found an experienced implementation partner, who guaranteed us this implementation time and whom we trust ", was said by Thomas Ritter, the IT-director of the Wuerzburger Versicherungs-AG when the contracts were concluded. Ritter further said: "The decision for the Oracle E-Business Suite fell particularly due to the short and guaranteed implementation time and the moderate capital investments. In addition, the Oracle Solution convinced by a clean architecture and perfect Workflow functionality, both aspects, from which we promise ourselves scalability and adaptability. Important as well: the Linux platform suggested by PROMATIS makes it possible for us to realize an economical security concept, with several Blade Servers."

The core of the PROMATIS Solution is formed by the Oracle E-Business Suite Modules Financials and Purchasing, which were implemented in line of a Rapid Implementation Procedure based on the preconfigured PROMATIS Business Component Insurances. Part of the project was also the workflow-based integration of the existing Inventory Management System INCAS. Tasks such as Customer- and Contract Management, Claim Settlement, Reinsurance or also Pre-Commissioning of Distribution and Sales Partners are merged thereby into continuous Business Processes. The basis: with flexible Oracle Integration Technologies seamlessly combined Best-of-breed software components.

Integrating the Oracle Collaboration Suite

In the second part of the project the MS Exchange Server that had been used up to that time was replaced by the Oracle Collaboration Suite. The system-replacement was totally hidden from the users. They kept on working with their familiar MS Outlook-Desktop and now benefited from the security and robustness of the Oracle Platform. Hot Pluggability – that’s the way it goes!

In a later accomplished third part of the project, the systems that had been used successfully since some months were supplemented by a modern Document Processing System based on the Oracle Content Services. Here as well, preconfigured PROMATIS Middleware Components for Workflow and Document Management provided for significant savings of implementation costs and terms. Documents available as hard copies (insurance applications, notification of changes, notifications of loss etc.), can be scanned, analyzed (OCR) and be processed together with electronic documents in Workflows, and then finally be linked to structured data from the Oracle E-Business Suite.

Scalability or „The appetite comes when eating“

Smoothly running processes, as with the Wuerzburger special insurer, quickly make clear, what the scalability of the Oracle Solution means: satisfied users get the appetite for additional functionalities in order to grasp all of the benefits the solution has to offer. Voilà! Now the development of the Oracle E-Business Suite is planned by adding Modules for Customer Relationship Management and the automation of additional Workflows – true to the vision of a customer-focused special insurer.
